Edmentum Batch Import

Explanation

Account Administrators have the ability to create multiple Learners and/or Instructors in the system at one time using Batch Import. This is a useful alternative to creating the users manually.

How To

Administrators have the option to batch import their users. This allows Administrators to import or create multiple users at one time from the Administration Center page. Click the Administration Center link at the top right corner of the home page, and go to the Users tab and click Batch Processing. This feature allows you to upload .csv files containing details for multiple users. The data in these files needs to be entered in a specific way.

 

User Import Files:

User import files contain user details such as name, Plato name, contact details, SIS ID, and email address. Refer to the File Format Specifications tab for details.

 

*Note* There is an optional Location field available. We strongly recommend including this when importing large numbers of users across multiple campuses or schools. This allows users to implement the Locations Filter.

 

Follow these steps to view a sample import file:

1. Click the Administration Center link at the top of the Plato Courseware home page.

2. Hover over the Users tab and click on Batch Processing.

3. Click the File Format Specifications tab to view data specifications and download a sample file.

NOTE: The File Format Specifications allow for auto-generation of PlatoNames and Passwords, for more information on auto-generation, click Here.

 

The sample file will look like this:

 Follow these steps to import users:

1. Click the Administration Center link at the top of the Plato Courseware home page.

2. Hover over the Users tab and click on Batch Processing.

3. Under the Upload tab, click the Browse button, and select the spreadsheet you’d like to upload. Note: Your spreadsheet must be in .CSV format.

4. Click the Import the Selected File button. 

A message displays to tell you that the document was uploaded successfully. Click the Refresh button on the Import History tab to monitor the import progress.

 

The Import History feature allows you to view import progress as well as view imports that were processed in the past. You can download the User files containing details of all users created in previous imports. Click the icon to view import history details.

 

Follow these steps to view the import history details:

1. Click the Administration Center link at the top of the PLE Courseware home page.  

2. Hover over the Users tab and click on Batch Processing.

3. User files containing details of all users created are listed under the History tab. Click to view import details.

What's Next

Importing Instructors

In Plato Courseware, after batch importing Instructors, you can enroll them into classes so they have access to their Program(s). You can also give Instructors access to Programs by manually editing their profile. This allows flexibility to give Instructors access to Programs outside of their location when using location-based Programs.

 

Note: In Edmentum Assessments, administrators must give Instructors access to Programs by manually editing their profile before they have access to the program to create assignments. Our Development team is working on enhancing this functionality in summer 2015.

Importing Program Administrators

While there is not an option to batch import the program admin role at this time, they can be created manually or the administrator can batch import them as instructors and then manually update their role to program admin and change their program access. They must be given program admin permissions to the Program Access in their user profile to have the program admin access. Adding the program admin to a class gives them instructor access unless they are manually given Program Admin access. Our Development team is working on enhancing this functionality in summer 2015.

Batch update

Administrators are now able to batch update in PLATO Courseware. Administrators are able to batch update locations, Plato names and passwords.

To update an existing user:

  1. Access the Administration Center
  2. Select Users>Batch processing
  3. Create your batch update file using the required fields below. *Note: to batch upload you must have the Plato Name and Password fields. You can export this data by clicking Users>Manage and selecting some or all users, then click Export.
  • Required fields:
    • First name
    • Last name
    • PLATO name
    • Password
    • Role
    • Status
    • Grade

 

*File must be .CSV format and be less then 5mb

  1.  Select the upload tab

  2.  Browse and find your file. Select Import.

 

Grade Promotion

Using the batch update feature, admins can easily mass change student grade levels.

  1. Export the users in the Users tab at the Administration Center

  2. Make the updates to the Grade field in the export file

  3. Then batch update the users to essentially change the grade level for the students
