Enrolling Users into Classes Utilizing Batch Enrollment in Plato Courseware

Explanation

Plato Courseware offers the ability for Account and Program Administrators to quickly enroll multiple learners or instructors into multiple classes by utilizing the Batch Enrollment feature under the Administration Center.

Please note that in order to use this feature, learners and instructors must already exist in the system. 

 

Note: Currently, batch importing classes (assignments) into Edmentum Assessments is slightly different than Plato Courseware. The details are below.

How To

Import Files:

The Import File should contain the following user details such as

  • Program Name
  • Class Name
  • SIS ID.

Refer to the File Format Specifications tab for details.

 

Follow these steps to view a sample import file:

1. Click the Administration Center link at the top of the Plato Courseware home page.

2. Hover over the Users tab and click on Batch Processing - Enroll.

3. Click the File Format Specifications tab to view data specifications and download a sample file.

 Follow these steps to import users:

1. Click the Administration Center link at the top of the Plato Courseware home page.

2. Hover over the Users tab and click on Batch Processing - Enroll.

3. Under the Upload tab, click the Browse button, and select the spreadsheet you’d like to upload. Note: Your spreadsheet must be in .CSV format.

4. Click the Import the Selected File button. 

A message displays to tell you that the document was uploaded successfully. Click the Refresh button on the Import History tab to monitor the import progress.

 

The Import History feature allows you to view import progress as well as view imports that were processed in the past. You can download the User files containing details of all users created in previous imports. Click the icon to view import history details.

 

Follow these steps to view the import history details:

1. Click the Administration Center link at the top of the PLE Courseware home page.  

2. Hover over the Users tab and click on Batch Processing - Enroll.

3. User files containing details of all users created are listed under the History tab. Click to view import details.

What's Next

Batch Importing Assignments into Edmentum Assessments

You can batch import classes (assignments) into Assessments but note that Assessment class names use the Assignment Name. This is because Assessments have "Assignments", rather than "Classes" in Courseware.

The batch file would look like this:

Our Product Management and Development teams are reviewing this functionality further to see if we should change the import behavior or class naming conventions for the Assessments app in the future.

 

What is the SIS ID and how is it used in PLE?

The Student Information System (SIS) ID is the identifier used in your district or institution as a unique identifier for each User. You can choose any number or alphanumeric string of up to 36 characters, as long as each Learner's SIS ID is unique across your account. You may use a student identification number assigned by your district, the Learner's Social Security number, or another number or alphanumeric string assigned by your system. The SIS ID field is a text field, which means it can contain letters, numbers, and some special characters. 

Note: A SIS must be specified for users in order to use the Enroll Users feature to update user profiles.
